INFORMATION REGARDING THE PROCESSING OF PERSONAL DATA

(Elettra Users)

Legislative decree n. 196 of 30 June 2003 “Code regarding the protection of personal data” regulates the protection of individuals and other subjects with regards to the processing of their personal data, and places a number of obligations on those who process the personal information of third parties. Among them is the compulsory obligation to provide the subjects whose personal data is being processed with adequate information on the use of the data itself.
Pursuant to art. 13 (policy statement) of legislative decree n. 196 of 30 June 2003, the personal data, including sensitive data, provided by you or acquired as part of ongoing relations with you, may be subject to processing.

Legislative decree n. 196 of 30 June 2003 indentifies the following activities as processing of personal data:
collection, registration, organization, conservation, consultation, processing, modification, selection, extraction, comparison, use, interconnection, block, communication, dissemination, erasure, destruction.
 
With reference to your registration at Elettra - Virtual Unified Office (VUO), and pursuant to Section 13 of Personal Data Protection Code, Legislative Decree no. 196 dated 30 June 2003, we inform you that:

• the use of personal data is strictly connected to your registration as Elettra and/or FERMI facilities user and is necessary for the continuation of your relationship with Elettra - Sincrotrone Trieste S.C.p.A.
• your personal data are required for the management of your activity as user of our facilities, in particular:
  • the Users’ Office and the Proposal Review Panel will use your personal data during the proposal review process
  • your personal data will be used for mailing purposes related to the “Call for Proposals” and to other communications about Elettra
  • part of your personal data (first name, last name, institute, email) will be visible to the other registered users, under the registered users pages of the Virtual Unified Office
  • the Users’ Office might communicate your personal data to other Elettra – Sincrotrone Trieste S.C.p.A. Services for administration purposes
  • if you present a proposal requesting financial support from the European Commission or through the ICTP-Elettra Users Programme, your personal data will be communicated to the financing institution for the reimbursement procedure as well as for the periodic reports of the access programme
• some of your personal data, including photographs and video footage may also be processed through publication on the laboratory website, in the Company "phonebook", or in promotional materials used for purposes relating to the disclosure of the company, its services and facilities.

• personal data abovementioned will be processed:
  • manually and electronically
  • by persons properly trained and authorized to deal with them in accordance to the Italian Law specified above
  • with appropriate security measures meant to:
    • guarantee the non-disclosure of the personal data
    • avoid improper access by unauthorised personnel and third parties.

The handling of data by the Company requires the identification, pursuant to Legislative Decree no. 196/03, of a number of subjects who are governed by specific obligations and responsibilities. In particular:

We also inform you that Section 7 of Personal Data Protection Code, Legislative Decree no. 196 dated 30 June 2003, grants you the right to obtain confirmation as to whether or not personal data concerning you exist, regardless of their being already recorded, and communication of such data in intelligible form.
You have the right to be informed:

• of the source of the personal data
• of the purposes and methods of the processing
• of the logic applied to the processing, if the latter is carried out with the help of electronic means
• of the identification data concerning data controller and data processors
• of the entities or categories of entity to whom or which the personal data may be communicated and who or which may get to know said data in their capacity as designated representative(s) in the State’s territory, data processor(s) or person(s) in charge of the processing.

• updating, rectification or, where interested therein, integration of the data
• erasure, anonymization or blocking of data that have been processed unlawfully, including data whose retention is unnecessary for the purposes for which they have been collected or subsequently processed.
