New EU access programme for Synchrotron radiation and Neutron Facilities: NEPHEWS

Elettra Sincrotrone Trieste is participating in the EU project NEutrons and PHotons Elevating Worldwide Science (NEPHEWS), with 22 other Synchrotron radiation and Neutron facilities; we will offer free-of-charge transnational access (TNA) to the Elettra and FERMI beamlines, covering travel and accommodation expenses for eligible users.


NEPHEWS has a special focus on EU Widening countries and Ukraine, but researchers from all EU member states, associated countries and Third countries may apply to benefit from the TNA programme: https://rea.ec.europa.eu/horizon-europe-widening-who-should-apply_en.

Funding will be allocated to proposals with assigned shifts from the Review Panel, according to the ranking based on scientific merit, up to the limit of the maximum budget available for the Call and in accordance with the Specific Cooperation Agreements between Elettra Sincrotrone Trieste and the Partner Institutions. Priority will be granted to the following Widening Countries (Ukraine, Finland, Romania, Greece, Estonia, Poland, Serbia, Portugal) and Countries without facilities selected by the Project.
 

IMPORTANT: All publications directly linked to the work performed in the framework of the project must acknowledge the support of the EU NEPHEWS programme as follows:

NEPHEWS User Questionnaire

All NEPHEWS supported users must submit a User Questionnaire as required by the Project Coordinator. This questionnaire will be the basis for settlement of travel and accommodation expenses by UsersThe link to the Questionnaire will be provided shortly.

Eligible proposals:

  • Proposals that have clicked the “Financial Support Request” option AND the “Crucial“ option;
  • Proposals that have clicked the “Financial Support Request” option BUT NOT the “Crucial” option;
  • if you click the “Financial Support Request” option AND  the option “Crucial“, in case of positive evaluation you will receive “Full support”Please note: if the budget of the semester cannot cover all the requests, these proposals with a lower position in the rating list will not be allocated beamtime.
  • if you click the “Financial Support Request” option BUT NOT the option “Crucial“, in case of positive evaluation you will receive “Partial support”Please note: if the budget of the semester cannot cover all the requests, these proposals with a lower position in the rating list will be allocated beamtime BUT NOT funding.
In order to verify whether your proposal has been allocated support, please check the box “European support” in the proposal:
  • “Full support” = two funded reseachers from non italian institutions
  • “Partial support” = one funded researcher from non italian institutions
  • "Not supported” = no support allocated

Support and rembursement rules

For travel booking, complete your access request and then contactTickets and hotels booked directly by users without the approval of the travels office may not be reimbursed.

 

Before the experiment

Each participant must submit to the Elettra Users Office an Access Request as “Funded User” at least one month before the arrival to Elettra. Since prices of tickets and hotels increase with time, failing to send a timely access request may prevent the group from getting support.

The Request must be sent including all the necessary information about the trip (e.g. arrival and departure dates, transport, etc.) and using the VUO procedure available at: https://vuo.elettra.trieste.it/pls/vuo/guest.startup.
 

Access


 

Accommodation

The accommodation must be booked through Elettra - Sincrotrone Trieste Travel Office. All requests for travel and accommodation must be sent to :. The support will cover the costs of accommodation including breakfast and local tax. Users will be supported from one day before the experiment starting date to one day after the ending date. If the experiment requires an exceptionally complex onsite preparation, longer periods may be considered upon request.

 

Travel

  • Flight: if you come by plane, Elettra Travel Office will book your flight directly. Please indicate any travel preferences / needs (itinerary, departure / arrival airport, travel dates, etc.) in the notes field of the access request.
  • Trainreservations and payment will be made directly by the Elettra Travel Office.  Please indicate any travel preferences in the notes field of the Access Request.
  • Airport Shuttles may be booked directly by Elettra Travel Office.
  • Private Car: if you travel by private car, Euro 0.16/km plus highway tolls will be reimbursed; please keep the original receipts/invoices.
  • Rental Car: the authorization and reimbursement of a rental vehicle can only be allowed if one or more of the following criteria is met:  
    ·       no availability of public transport 
    ·       cost effectiveness compared to public transport. 
    Please contact the Elettra User and Travel Office before making any reservation:  In case of approval you will receive the instructions for reimbursement.
  • Taxitaxi expenses will not be reimbursed unless excepitional circumstances occur and only upon agreement with the User Office. Please write to: .

Please Note: Tickets and hotels booked directly by users without the approval of the Elettra Travel office may not be reimbursed.

After the experiment - on line reimbursement request

If you have expenses to claim (car costs, tickets or other), please complete the online reimbursement form available in the  VUO, in the section “Access Travel and Expenses Reimbursement”. Reimbursement claims must be sent WITHIN 90 DAYS from the experiment ending dateClaims arriving after such date will not be processedPayments will be sent via bank money transfer, normally within three months after receiving the documentation.
